We are delighted to have partnered with StudentSafe to deliver a technology-led transport management solution to our parents and pupils, with increased safeguarding as our number one priority whilst also encouraging more parents to use the service to help reduce emissions on the School Run.

Welcome to our FAQ section, where you’ll find a compilation of frequently asked questions regarding our services.

Our customer service team is available Monday to Friday between 9am and 4pm to assist you with non-urgent enquiries.

My child already uses the school bus service. Do I need to re-register?
Parents/guardians must register/re-register pupils each year for the bus service, using the Holy Cross Prep School Transport Website.
Journeys booked but not taken are non-refundable.
The School offers bus service bookings on a first-come, first-served basis.
Priority will be given to pupils with termly bookings.
The School will do its utmost to accommodate all requests for use of the service.

How do I register?
To register, simply click on the “register” button located at the bottom of the parent app.
You’ll need to provide your email address, which must match the one you’ve registered with the School for security reasons.
The system will then send a One Time Passcode (OTP) to your registered mobile number for verification.
Once entered, you’ll be prompted to set up your password.

My email will not work when registering.
Please make sure you are using the email address that you have given as your primary contact email.
Please contact the School on 0208 942 0729 to update your details.

When registering my email, I didn’t receive a 6-digit code.
If you do not receive a code, then your mobile telephone number does not match the records held by the School.
Please contact the School  on 0208 942 0729 to update your details.

Where can I find the bus routes and timetables?
Bus routes and timetables can be found on this website.
Here you can view each of the routes in detail with bus stops and departure times.

When will bus invoices be issued and how should payment be made?
Via the School Gateway app.

If my child does not catch the bus when booked, will I be charged?
Yes, we charge for the service by the term, we do not offer refunds for unused journeys.

How can i cancel the bus service?
A full term’s notice is required to withdraw or amend a regular booking on the bus service.
Notice must be provided in writing or via email to: [email protected]

Amendments / Cancellations
Any amendments to pupils’ journeys (for example: frequency, route, pick-up location or drop-off point) should be made directly via the following email: holycross@studentsafe.com

What if I need to amend my travel arrangements after booking?  
Please email holycross@studentsafe.com  with details of the amendments.

What if I need different stops/routes during the week to accommodate my child’s regular travel?
Our service can be flexible, in this instance please email holycross@studentsafe.com with your details and requirements and we will check the availability for you.

What if I need to amend my travel arrangements after booking?
Amendments can be made via the “My Bookings” page.
Simply follow the instructions.
Amendments are subject to availability on any given day.

What if I would like an additional stop?
We are able to add additional stops if there is sufficient demand and any proposed additional stops if they do not adversely affect the route.

What do I do if my child is absent from school?
You can advise us of an absence by emailing holycross@studentsafe.com
Please note that you must also notify Holy Cross Prep School directly about an absence.

What if my child misses the bus?
We recommend pupils are always at the bus stop at least 5 minutes before departure.
Vehicles should not depart before their allocated time.
If your child does miss the vehicle, however, they will need to make their own way to school.
Please notify the team at [email protected]m  if this is the case.

My child has a friend staying overnight, can they catch the bus together?
Yes, subject to availability.
For safeguarding reasons, the friend must be properly booked onto the bus, by their own parent as they will be accepting the cost to use the service.
Vehicles should not depart before their allocated time.

Use of the Service
Pupils must ensure they travel on the route for which they are registered.
Parents/guardians are asked to remind their children that when travelling on the school buses they remain bound by the School’s Behaviour Policy.
Parents/guardians are asked to remind their children that they must abide by the School’s Pupil Code of Conduct.

If you have an urgent query about your child’s bus route during service, then please contact the StudentSafe control centre on 0203 667 9720.
This telephone number is staffed during term time from 07:00 in the morning to cover travel into school and until 18:00 covering the homeward journey.

Terms and Conditions

1. School Bus Bookings:
Parents/guardians must register/re-register pupils each year for the bus service, using the Holy Cross Prep Booking Portal. Journeys booked but not taken are non-refundable.
The School will do its utmost to accommodate all requests for use of the service, however, the School offers bus service bookings on a first-come, first-served basis.

2. Amendments / Cancellations:
A full terms notice is required to withdraw or amend a regular booking on the bus service.
Notice must be provided to the Bursar in writing or via email: [email protected]

3. Use of the Service:
Pupils must ensure they travel on the route for which they are registered.
Parents/guardians are asked to remind their children that when travelling on the school buses they remain bound by the School’s Behaviour Policy
Parents/guardians are asked to remind their children that they must abide by the School’s Pupil Code of Conduct.

4. Changes to Service:
Any changes to the pupil’s use of the School Bus Service (for example: frequency, route, pick up/drop off stop) must be made via the My Bookings page on the School Transport Portal.
The School reserves the right to make route alterations after publication, but will provide notice of any such action.

5. Payment & Charges:
Bookings must be made for the term, e.g. Monday – Friday and Monday, Tuesday, Friday PM journey. These can not be changed.
Parents will be informed of route charges at the start of each session and charges will also be available on the Holy Cross Prep School Transport Website.
Use of the service will be billed termly by the school, based on bookings made.
Payment should be made via the School Gateway app on receipt of the invoice.

6. Lost Property:
Should a pupil leave any item on a school bus then parents should contact StudentSafe either via email at holycross@studentsafe.com or by phone at 0203 667 9720 to report the loss providing the bus route and a description of the item(s).
StudentSafe will contact the appropriate bus company to find out if the item has been found. Pupils can then collect the item on the next run.

7. Pupil Code of Conduct:
We expect our pupils to behave well on the school buses.
Everyone has the right to travel in comfort, the following are guidelines as to what is expected, to ensure you have a safe and enjoyable journey.

Pupils must –
Be ready to board at the allotted time. If late, the bus will be unable to wait
Travel on their designated bus only
In the event of show, check the school’s website before leaving home
Be polite and respectful to the driver and all other passengers at all times
Follow any instruction from the driver without question – it is for their safety and the safety of others
Stay in their seats with seat belts fastened
Keep noise to a reasonable level
Look after their belongings and keep them in a safe place. Ensure your possessions do not cause a hazard for other students

If you see anyone behaving badly or causing distress to other passengers, report it to the driver and/or the school office

Pupils must not –
Distract the driver, except in an emergency
Leave any items on the bus including any litter
Ask to be dropped off anywhere other than their agreed stop
Use bad language. This will not be tolerated.
Cause damage to the vehicle. If you do your parents will have to pay for the damage
Consume food or drink whilst on the minibus/coach
